Adding Copies in Selection Lists & Purchase Orders

When adding copies to your line items you won't have to set the shelving location or the call number and you only have to set the circ modifier if it is NOT a book.

With the recent upgrade there is a way to set the default shelving location, circ modifier & call number prefix for acquisitions line items. They have been set to Stacks, Book & ACQ so you only have to set the quantity & add the note for the fund code for each line item. Unfortunately, the upgrade did not fix the fund code bug.

When the purchase order is activated & the items are uploaded to the catalog, the default settings populate the item records.

Hope this makes everyone happy!

FY16 Appropriations

The FY16 funds have been appropriated and are ready to go. Until the bug is fixed you won't have to worry about assigning the funds to your line items, I just wanted to let you know that the appropriations have been completed.

Thanks everyone, for remembering to add a fund note to your line items. With your help the workaround is working but it does slow down the purchase order process for Mary. Consequently, Mary will be breaking down orders into smaller chunks.

Acquisitions Bug

A bug in the upgraded acquisitions module has been identified. When you are adding copies to the line items in your selection list, you won't be able to select a fund. The funds are not in the drop down menu and manually entering the fund code won't work either. You can select a fund on the batch menu line but when you try to apply that choice to the copies nothing shows in the fund box.

So, as a workaround, until they release a fix for this bug, please add a note in each line item with the fund code you want to apply for that linen item. The image shows a note I added to a line item in my selection list.

When Mary creates the purchase order, she will apply the fund you have specified in the note.

Please add a fund note for every line item you are making order ready.

Please just enter the fund code.

Please add it as a note not an alert.

Changes in Status Category (Patron Registration)

Everyone,

In an effort to keep everything as simple as possible when we set up the categories in Evergreen's registration form for new patrons, we ...well, oversimplified.

To remedy this, we have just added two new categories in the Status heading which will give us more accurate statistics about our patron base. Specifically, we have added a heading for spouses/partners/children of Dartmouth students and one for spouses/partners/children of Town Employees.

Please note under STATUS the addition of:
Town Employee family member
Dartmouth Student family member

(Please also try to remember that both husband and wife/partner of Property Owners are also Property Owners. Spouses/partners/children of Dresden employees are not entitled to "free" cards.)

Thanks,
Kris

Those Pesky ISBNs!

We have had some titles not accepted by Ingram because of a problem with the ISBN field. The ISBN is correct & the title is available from Ingram, but when the ISBN was entered (either keyed in or copied & pasted) an extra space was added at the end of the field. When the EDI order arrives at Ingram it sees a 14 digit field instead of the normal 13 digits (it's a machine, what do you expect?). It doesn't know what to do with this data so it refuses this line item.

If you are copying & pasting the ISBN, please try to copy only the 13 digits & try not to get an extra space at either end of the field. If you do grab an extra space, be sure to remove it before you save the template.

If you are keying in the ISBN, try not to add a space at the end of this field.

The EDI function works really well & is a very efficient way to order. However, the downside is that it is absolutely exacting and unforgiving of even the slightest variation.

Uploading Lists --Great News!

There is a way to upload MARC order records without loading the bibs in the catalog!
This will make a big difference to those selectors who were concerned about loading records too far in advance. You can now bring in records as early as you want.
The only change is that you will not check the option to import non-matching records.

I'll put an updated page of the instructions in your mail boxes.

Let me know if you have any questions.

Uploading lists

I uploaded my first batch of lists today. I found it really useful when I uploaded several replacement titles all at once--probably because I don't put a lot of notes on that kind of record it was a big timesaver for me.

A couple of FYI things: there are indeed many more selection lists to upload to and when you start typing your initials, you get only your lists.

Mike noticed that you can put notes in your Bibz lists--which could be useful for you.

Don't forget to change the ISBN and be careful because it doesn't necessarily hold onto the change (the same way the line item doesn't necessarily hold price info).

I want to encourage you all to try it. I think as we get more familiar and speedier it could be a boon.

Selection Lists in Load MARC Order Records

I opened a call with Equinox to see if the limited selection list options was a bug or a limitation in the software. While it is the way the software is written, the developers changed our code to allow up to 100 selection list names to appear in the drop down menu when you are uploading your order bibs to a selection list. They will be committing a long term fix to a future release of Evergreen.
